Sound familiar?
- Your team edits the same information in three places
- WordPress has become a maze of custom fields and plugins to fit your content
- Your website and app show different prices or product details
- Editors keep breaking layouts because they have too much freedom
- You're locked into a closed CMS from an old agency
Key facts
- A custom CMS models your exact content types, so editors only see the fields they need
- A headless CMS stores content separately and sends it to a website, app or screen through an API
- Front ends are often built as static sites, which keeps them fast and secure
- Costs more to build than WordPress; worth it only when content is genuinely unusual
- You own the code and the content, with documentation for any future developer
- Every project gets a fixed quote after a scoping call
When a custom CMS makes sense
Most businesses don't need one. WordPress handles pages, posts and services perfectly well, and builders like Webflow cover design-led marketing sites. A custom or headless CMS earns its cost when:
- your content is highly structured, such as specifications, listings, course data or regulations
- the same content feeds a website, an app, in-store screens or partner sites
- you need strict editorial control, with different roles approving different content
- an existing CMS has been bent so far that every change risks breaking something
If none of that applies, we will tell you, and suggest a simpler build.
Custom, headless or traditional?
| Approach | How it works | Good for |
|---|---|---|
| Traditional CMS (WordPress, Drupal) | Content and website live together on one server | Most business sites, blogs and shops |
| Headless CMS | A hosted or self-hosted content store sends content to any front end through an API | Content shared across a site and apps, or teams wanting a static front end |
| Custom-built CMS | An admin designed from scratch for your data and workflow | Unusual data, complex rules, or integration with internal systems |
Headless platforms usually charge a monthly fee once you pass their free tier, and that fee depends on users and content volume. We set out those costs in the quote. Custom-built admin areas carry no licence fee, but take longer to build.
How we approach a custom CMS project
- Content modelling. We list every type of content, its fields, which are required, and how items relate. This is the most important step; get it right and the rest follows.
- Editor design. We design the admin screens for the people who will use them, with clear labels, help text, validation and image cropping, so content goes in correctly first time.
- Front-end build. Usually a static front end that rebuilds when content changes, giving fast pages and a small attack surface.
- Workflow. Drafts, previews, scheduled publishing and approval steps where you need them.
- Migration. Existing content imported and checked, with 301 redirects from old URLs.
- Documentation. The content model, deployment process and code are documented so you are never dependent on us.
Ownership and avoiding lock-in
Plenty of businesses come to us stuck on a closed CMS an agency built years ago, with no access to the code. We do the opposite. You own the repository, the database and the content. The code uses widely known, open-source tools, and we write handover notes a new developer can follow.
If your project is closer to a web application, with customer accounts, quoting tools or business logic, our sister company dijitul developments builds bespoke software and web apps.
Signs your current CMS no longer fits
You don't always need to replace a CMS, but these are signs the content model has outgrown it:
- Editors copy and paste the same product details into several pages, and they drift out of step.
- Pages are built from dozens of custom fields that only one person understands.
- Adding a new type of content means a developer and a week of work.
- Your site, app and printed materials pull from different spreadsheets.
- Publishing needs an approval step the CMS can't enforce.
Sometimes the fix is restructuring the existing CMS rather than replacing it, for example rebuilding a WordPress site with proper custom post types and a lighter theme. We look at that option first, because it is usually cheaper.
Costs and timescales
Every custom CMS project gets a fixed quote after a scoping call, starting from £500 + VAT for a small headless site with a simple content model. Larger builds with integrations, multiple roles or large migrations cost more, and the quote lists everything, including any third-party CMS subscription, hosting and domain costs. Changes after launch are £45 an hour + VAT.

Frequently asked questions
What is a custom CMS?
A custom CMS is a content management system designed around your specific content and workflow, rather than a general-purpose platform. Editors see only the fields they need, and the structure matches how your business actually describes its products, services or data.
What is a headless CMS?
A headless CMS stores and manages content but doesn't produce the website itself. It sends content through an API to any front end: a website, a mobile app or a display screen. That lets one source of content feed several channels.
Do I need a custom CMS or is WordPress enough?
For most business websites, WordPress is enough and costs less. A custom or headless CMS is worth it when content is highly structured, shared across channels, or needs strict approval workflows. We will tell you honestly which fits.
Will I be locked in to you?
No. You own the code, the content and the hosting accounts. We use widely known open-source tools and document the content model and deployment, so any competent developer can take over.
How much does a custom CMS website cost?
Each project gets a fixed quote after scoping. Small headless sites with a simple content model start from £500 + VAT. Complex builds with integrations or migrations cost more, and any third-party subscriptions are listed in the quote.
